  • Overview

    The Correspondence Support Specialist is responsible for a broad range of duties which support the day to day operations of the RCM department. The employee will work closely with the Director, RCM Credit Balances and the RCM Management staff to identify and implement time and cost saving measures. The employee will observe company policies and all applicable laws and regulations as they relate to their job requirements. The employee must have the ability to prioritize and problem solve. Above all, qualified candidates should possess exceptional internal and external customer service skills and actively promote Amerita’s company culture.

    Responsibilities

    • Insures daily accomplishments work towards company goals for cash collections, credit balances, A/R over 90 days, and other departmental goals as outlined
    • Understands and adheres to state and federal regulations, and to company policies regarding to compliance, integrity, patient privacy and ethical billing and collection practices
    • Understands and adheres to HIPAA and PHI guidelines
    • Posts all incoming correspondence utilizing the approved subject headers and note templates within CPR+ and assigns to the appropriate Collection Specialist. Links all Zirmed document tracking numbers in CPR+.
    • Archives daily correspondence in Zirmed after posting in CPR+
    • Adheres to the performance metric of posting correspondence batches within two business days
    • Reviews correspondence for re-routing and/or special handling to include: Medicare communication, authorizations, audits, contracting/credentialing, provider bulletins, attorney medical records requests, accounts payable, etc.
    • Assists with routing deposit information to Cash Applications to ensure proper application of cash receipts and cash reconciliation
    • Saves all incoming Tricare refund requests, recoupments, or RCN communications in the appropriate retention folder and distributes copies to the Credit Balance team for processing.
    • Notifies Director, RCM Credit Balances of needed changes to Amerita’s Correspondence Guidelines
    • Logs in daily refund and medical records requests received from commercial and government payers for tracking purposes and routes to the appropriate departments for processing
    • Escalates unidentified correspondence to Director, Revenue Cycle Credit Balances
    • Maintains CPR+ Document Management System to include scanning, and attaching documents
    • Monitors incoming fax queue daily and distributes and/or assigns incoming faxes
    • Assists RCM staff with correspondence inquiries and locates files as needed
    • Routes completed batches to cash applications to retain in accordance with Amerita’s medical records retention policy.
    • Assists with receiving and processing returned mail to include securing new address information
    • Contacts payers by telephone, mail, email or other appropriate means to secure copies of missing documentation as needed
    • Answers phones and routes calls as needed
    • Communicates consistently and professionally with other Amerita staff
    • Works within specified deadlines and stressful situations
    • Works overtime when necessary to meet department goals and objectives
    • Serves as backup for the Medical Records Specialist and Reimbursement Support Specialist during times of absence
    • Perfoms other tasks or special projects as requested by RCM Management

    Qualifications

        • High School diploma or GED equivalent required
        • College or post-secondary education a plus
        • A minimum of 1 year experience in general medical office operations or related education
        • Working knowledge of automated billing systems, experience with CPR+ and Zirmed preferred
        • Solid Microsoft Office skills required: Word, Excel and Outlook
        • Ability to type 40 wpm and proficiency with 10-key calculator
        • Ability to independently obtain and interpret information
        • Strong verbal and written communication skills
